Agilysys Stay - Agilysys Service Integration Enhancements

The following enhancements have been made to the Agilysys Stay - Agilysys Service integration:

  • Notify Agilysys Service when the following actions are performed in Stay:

    • Estimated Time of Departure (ETD) is modified on the day of departure

    • Late Check-Out time is modified on the day of departure

  • Send a Stayover Service Request from Stay to Agilysys Service only when a housekeeping service is scheduled for a reservation.

  • Send the housekeeping service name and code in the following requests from Stay:

    • New Arrivals

    • Soft Check In

    • Soft Check-In Inspection

  • Stay Over Service

    • Due Out

Modifying Estimated Time of Departure

Users can modify the Estimated Time of Departure (ETD) of reservations either from the Reservation Summary section or the Batch Edit tab of the Batch Operations screen on the day of departure.

When the modified ETD is beyond the check-out time configured for the property, the late check-out time for the reservation is updated to match the ETD. A notification is sent when the modified ETD is beyond the late check-out time already configured for a reservation.

For example, when the check-out time for the property is configured as 12 PM, and the ETD for a reservation is modified as 12:30 PM, the late check-out time for the reservation is updated as 12:30 PM. In this case, a notification is sent from Stay with the updated late check-out time.

Previously, when the ETD was modified, the late check-out time for the reservation was not updated automatically. Through this enhancement, the late check-out time will be updated automatically when the ETD is modified.

When the modified ETD is prior to the property’s check-out time or the late check-out time already configured for the reservation, the late check-out time is not updated, and a notification is sent from Stay which indicates that the late checkout time is not updated.

For the same property check-out time, when the ETD is modified as 9:00 AM, the late check-out time is not updated, and a notification is sent from Stay which indicates that the late checkout time is not updated.

Modifying Late Check-Out Time

When the Late Check-Out time (LCO) time for a reservation is modified on the day of departure and when the modified time is beyond the check-out time configured for the property, a notification is sent from Stay to Agilysys Service that contains the modified late check-out time.

When the modified LCO is prior to the property’s check-out time, the following message is displayed, and a notification is not sent from Stay: Late check out cannot be earlier than the property's checkout time.

Send Stayover Service Request from Stay

A Stayover Service Request is sent from Stay to Agilysys Service only when a housekeeping service is scheduled for a reservation. Previously, the request was sent daily even when the room assigned to a reservation did not have a housekeeping service scheduled.

For example, when a reservation booked for 5 nights is associated with a housekeeping pattern configured with a room cleaning service scheduled on the 3rd night of stay, a Stayover Service Request is sent from Stay to Agilysys Service after the date roll on the 2nd night of stay.

Send Housekeeping Service Name and Codes

The housekeeping service name and code is sent for the housekeeping services scheduled for a reservation in the following requests sent from Stay to Agilysys Service:

  • New Arrivals

  • Soft Check In

  • Soft Check-In Inspection

  • Stay Over Service

  • Due Out

In addition to the existing functionality, these requests are sent from Stay when the following actions are performed:

  • Housekeeping service is manually added or removed

  • The service date matches the current property date

  • The reservation status is In-House or Reserved.
